Job Description
We are seeking a dynamic Workplace Management Manager to lead our workplace operations and create an environment that fosters productivity, collaboration, and employee well-being. The ideal candidate will have a strategic mindset, excellent leadership skills, and a passion for optimizing the workplace experience. This role involves overseeing facilities, managing a team, and driving initiatives to enhance the workplace culture. This role requires office-based work - 3 to 4 days a week.
Roles and Responsibilities:
Strategic Planning
Implement a comprehensive workplace management strategy aligned with organizational goals and objectives.Workplace trends, employee feedback, and industry best practices to continuously improve workplace effectiveness and efficiency.
Facilities Leadership
Lead the location workplace management , in maintaining a safe, functional, and aesthetically pleasing workplace environment.
Manage facilities budgets, contracts, and vendor relationships to ensure cost effective delivery of services and resources.
Establish schedules for routine inspections of fire suppression systems, emergency lighting, exit signs, HVAC systems, electrical systems, and other infrastructure.
Identify opportunities for process improvement and efficiency gains within the administrative function.
Implement initiatives to streamline workflows, reduce costs, and enhance overall effectiveness.
Coordinate meetings, conferences, and special events, including scheduling, logistics, and catering arrangement
Employee Experience
Optimize space utilization through strategic planning, layout design, and occupancy management.
Collaborate with cross-functional teams to support organizational changes, expansions, or relocations.
Champion initiatives to enhance employee experience, engagement, and wellbeing within the workplace.
Collaborate with HR and other departments to develop and implement workplace policies, programs, and amenities that support employee satisfaction and retention
Technology Integration
Identify and implement technology solutions to streamline workplace operations, improve communication, and enhance employee productivity.
Stay abreast of emerging workplace technologies and recommend innovative solutions to drive efficiency and innovation
Sustainability Initiatives
Drive environmental sustainability efforts within the workplace, including energy conservation, waste reduction, and eco-friendly practices.
Promote a culture of sustainability among employees and stakeholders through education, awareness, and participation in green initiatives.
Emergency Preparedness
Prepare and implement effective emergency response plans measured through drills and simulations.
Create detailed procedures for responding to emergencies, including evacuation routes, assembly points, emergency contacts, and protocols for contacting emergency services.
Coordinate with relevant stakeholders to ensure continuity of critical services, such as utilities, maintenance, and security, during prolonged emergencies.
Monitor compliance with organizational policies, procedures, and regulatory requirements, and address any non-compliance issues
Identify and mitigate risks related to administrative operations, such as security breaches, data privacy concerns, and safety hazards
Office operations management
Oversee day-to-day administrative operations, including managing office supplies, equipment, facilities, and services.
Develop and implement policies and procedures to optimize administrative processes and improve efficiency
Timely Compliance and Documentation
Percentage of local regulations and compliance requirements met within specified deadlines.
Number of documents processed accurately and on time.
Develop a compliance monitoring program to track adherence to emergency response procedures and regulatory requirements.
Conduct periodic audits or inspections to verify that documentation is complete, accurate, and up-to-date
Skills and Expertise
- Degree in Facilities Management, Business Administration, or related field (Master's degree preferred).
- 8-10 years of experience in workplace management, facilities leadership, or related roles.
- Leadership and managerial skills, with a track record of effectively leading teams and driving results.
- Communication, negotiation, and interpersonal skills, with the ability to collaborate across departments and influence stakeholders at all levels.
- Knowledge of facilities management principles, workplace design trends, and industry standards.
- Experience in facilities management software, project management tools, and office productivity suites
