Sales Operations Analyst
Position Overview
The Sales Operations Analyst serves as a critical operational partner to the Sales organization, providing administrative, systems, process, reporting, and enablement support that drives productivity and business growth. This role is responsible for coordinating customer-facing and internal workflows, supporting RFP/RFI responses, maintaining data integrity, administering key sales platforms, facilitating contract and signature processes, and ensuring seamless collaboration across Sales, Business Intelligence, Legal, Security, Compliance, Operations, and Services teams.
The ideal candidate is highly organized, detail-oriented, technically proficient, and capable of managing multiple priorities while maintaining a high level of accuracy and customer service. This individual will play a key role in supporting sales effectiveness, operational excellence, and continuous process improvement.
Key Responsibilities
Sales Operations Support
- Provide day-to-day operational support for Sales Directors, Relationship Managers, executives, and other sales stakeholders.
- Respond to process, reporting, system, and data-related requests.
- Track open requests, prioritize workload, and ensure timely completion of deliverables.
- Document repeatable processes and support continuous improvement initiatives.
RFP, RFI, and Security Questionnaire Management
- Coordinate RFPs, RFIs, security questionnaires, and related customer requests from intake through submission.
- Facilitate kickoff meetings, assign subject matter experts, track deadlines, conduct quality reviews, and manage final submissions.
- Coordinate supporting documentation and ensure final materials are properly stored and archived.
- Administer the Responsive platform, including project setup, permissions management, templates, content libraries, contributor coordination, and reporting.
- Maintain organized response content and support content-library governance.
Pricing Proposal Support
- Develop customer-facing pricing proposals using approved pricing models, volume assumptions, fees, options, ROI information, and supporting business analyses.
- Collaborate with Sales, Business Intelligence, and Payment Operations teams to validate proposal content.
- Coordinate revisions and ensure final approved pricing information is maintained in designated systems and repositories.
TIN Analysis Coordination
- Receive, validate, format, and upload ClaimsPay TIN and date data to approved Business Intelligence repositories.
- Submit analysis requests and monitor completion status.
- Coordinate follow-up activities for incomplete data submissions.
- Route completed analyses to appropriate pricing and proposal stakeholders.
Statement of Work (SOW) Signature Management
- Manage execution workflows for existing-client Statements of Work.
- Verify approved versions and prepare approval summaries.
- Coordinate DocuSign execution or alternative customer signature processes.
- Track signature status and ensure completed agreements are properly archived and distributed.
Sales Win Communications
- Prepare sales win announcements utilizing Salesforce information and approval summaries. Coordinate approval workflows and publication schedules.
- Verify stakeholders, leadership recipients, and supporting team members.
Customer Handoff Coordination
- Prepare customer implementation checklists following contract execution.
- Support Sales-to-Services transition activities.
- Validate contract details, pricing information, Salesforce records, and implementation requirements.
- Track and resolve outstanding onboarding and implementation items.
NDA Coordination
- Coordinate client NDA requests through approved Legal review and redlining processes.
- Monitor execution workflows and maintain supporting documentation.
- Ensure compliance with established approval procedures.
- Escalate contractual or legal concerns to appropriate stakeholders.
System/Tools Administration and Sales Performance Support
- Administer sales tools and systems including Gong, Glean, LinkedIn Sales Navigator, AM Best Users. Responsibilities include managing platform access, configurations, dashboards, deal boards, trackers, and reporting views.
- Support user training, adoption, troubleshooting and coordinating vendor support activities as needed.
- Evaluate and assist with implementation of additional platform capabilities as needed.
Intranet Content Management
- Maintain and update Sales-related content on the company intranet.
- Manage resource links, permissions, formatting standards, approvals, and content lifecycle activities.
- Ensure intranet resources remain current, organized, and accessible.
New Hire Onboarding and Training
- Support onboarding and training for new Sales team members.
- Deliver training related to Salesforce, Responsive, sales processes, and internal resources.
- Coordinate access provisioning and schedule onboarding sessions.
- Maintain and enhance training materials to support employee success.
Required Skills and Qualifications
- Strong knowledge of Sales Operations processes and best practices.
- Experience supporting CRM systems, preferably Salesforce.
- Experience administering business applications such as Responsive, Gong, Glean, LinkedIn Sales Navigator, SafeBase, or similar platforms.
- Excellent project coordination and workflow management skills.
- Strong analytical and problem-solving abilities.
- Exceptional attention to detail and organizational skills.
- Strong written and verbal communication skills.
- Experience managing document workflows, approvals, signatures, and repository governance.
- Proficiency in Microsoft Office applications, including Excel, Word, PowerPoint, Outlook, and Teams.
- Experience working with SharePoint and other content management platforms.
- Customer-focused mindset with strong internal and external relationship management skills.
Education and Experience
- Bachelor's degree in Business Administration, Operations, Finance, Information Systems, Marketing, Communications, or a related field preferred.
- Minimum of 2-4 years of experience in Sales Operations, Revenue Operations, Business Operations, Sales Support, Project Coordination, or a related role preferred.
- Experience supporting SaaS, technology, insurance, financial services, or payments organizations preferred.
- Equivalent combination of education, training, and relevant work experience may be considered.
Additional Requirements:
- This position may periodically require work outside of standard business hours, including evenings and weekends, to support business needs.
- Employment is contingent upon successful completion of background screening requirements.
