Overview
One Inc is seeking a detailed, organized, and service-oriented Contracts Administrator to support the Legal team with contract intake, administration, documentation, review coordination, repository maintenance, metadata tracking, approvals, signatures, renewals, reporting, and process support. This role will help ensure contracts are accurately tracked, properly routed, timely executed, and maintained in approved systems.
The Contracts Administrator will work closely with Legal, Finance, Procurement, and business stakeholders, escalating substantive legal, business, or risk-related issues to the Associate General Counsel or General Counsel as appropriate.
Key Responsibilities
Contract Intake, Routing & Coordination - Serve as a primary administrative point of contact for contract requests, intake coordination, status tracking, and contract routing.
- Receive and review contract intake submissions for completeness, confirm required information is provided, and follow up with requestors to resolve missing administrative details.
- Coordinate contract review workflows across Legal and relevant business stakeholders, including the requesting department, Sales Operations, Finance, Procurement, and InfoSec when vendors may handle personally identifiable information.
- Track contract status, approvals, signature progress, filing completion, and renewal/expiration dates using approved systems and trackers.
Contract Documentation & Template Support - Prepare first drafts of routine, low-complexity agreements using approved Legal templates, including NDAs, vendor agreements, amendments, extensions, and other standard agreements as directed by Legal.
- Assist with redline comparison, version control, document formatting, and preparation of execution-ready agreements.
- Escalate proposed changes to key legal or business terms, including indemnification, limitation of liability, confidentiality, data protection, liquidated damages, termination, payment, or renewal provisions, to Legal leadership for review and direction.
- Maintain current versions of approved Legal templates and support periodic template updates at the direction of Legal leadership.
Contract Repository, Metadata & Records Management - Maintain the Legal Contracts database and Contracts Metadata Database, including data entry, data quality review, record organization, reporting support, and ongoing administrative maintenance.
- Review existing company contracts and capture key terms, dates, obligations, renewal provisions, and other required metadata in Salesforce, the Contracts Metadata Database, SharePoint, or other approved systems.
- Ensure executed contracts and supporting documentation are filed accurately and consistently in approved repositories.
- Run standard queries and prepare contract reports in response to requests from Legal or business leaders.
Vendor Contract Administration - Support the vendor contract management process from intake through execution and filing, including administrative tracking of vendor information, contract status, approvals, signatures, and expiration/renewal dates.
- Monitor upcoming vendor contract renewals and expirations and notify Legal and business owners of upcoming deadlines.
- Help identify missing information, incomplete approvals, outdated templates, or inconsistent repository records and support clean-up efforts.
- Assist Legal leadership in tracking recurring vendor contract issues and opportunities for process improvement.
NDA Support - Administer NDA requests for client, vendor, and other business needs using approved Legal templates and processes, status tracking, execution, and filing for client-related agreements.
- Support amendments and extensions of client agreements by preparing template-based drafts, coordinating review, tracking approvals, and maintaining final records.
Process Improvement & Administrative Support - Support development and documentation of contract intake, approval, signature, renewal, reporting, and filing processes.
- Provide regular status updates to Legal leadership on open contract requests, pending approvals, upcoming renewals, and repository clean-up items.
- Perform other contract administration and Legal team support duties as assigned.
Skills & Experience
- Prior contracts administration, legal operations, procurement operations, paralegal support, or contract coordination experience in a high-volume, fast-paced business environment.
- Experience supporting contract intake, routing, approvals, signatures, renewals, document retention, metadata tracking, and contract database maintenance.
- Familiarity with common commercial contract terms such as confidentiality, indemnification, limitation of liability, term and termination, renewal, payment terms, data protection, insurance, and assignment.
- Ability to recognize when legal or business terms require escalation and to follow established review and approval protocols.
- Strong organizational skills, attention to detail, follow-through, and ability to manage multiple requests simultaneously.
- Comfort working in contract repositories, Salesforce, SharePoint, CLM tools, document management systems, Microsoft Office, and related business systems.
- Experience supporting vendor contracts, NDAs, amendments, renewals, or contract metadata/reporting is strongly preferred.
- Experience in payments, fintech, insurance, and/or SaaS industries is a plus.
