Position Title: Executive Assistant CTO/CPO
Department: Corporate
Location: Remote US (Central time zone preferably)

Overview:

We are seeking a highly skilled and proactive Executive Assistant to support our Chief Technology Officer and our Chief Product Officer. This role requires strong organizational abilities, technical awareness, and the ability to manage shifting priorities in a fast-paced, product-driven environment. The ideal candidate will understand how Product and Engineering organizations operate and will play a key role in improving executive efficiency, communication flow, and operational alignment across cross-functional teams.

Key Responsibilities:

Executive & Calendar Management

  • Manage complex calendars aligned to product development cycles (roadmaps, releases, and sprints).
  • Prioritize meetings based on delivery milestones, launches, and executive priorities.
  • Coordinate executive availability across high-volume internal and cross-functional stakeholders.

Meeting Coordination & Cadence Management

  • Coordinate and support key Product and Engineering rhythms, including:
  • Roadmap reviews
  • Product reviews and executive syncs
  • Cross-functional planning sessions
  • Prepare agendas, track action items, and ensure timely follow-up

Cross-Functional Coordination

  • Partner closely with teams across:
  • Engineering
  • Product Management
  • Analytics / Data
  • Manage high-volume stakeholder interactions across both technical and non-technical groups.
  • Facilitate communication and alignment across departments

Reporting, Analysis & Executive Communication

  • Build executive-ready presentations and materials using PowerPoint.
  • Translate technical concepts into clear summaries, dashboards, and leadership updates.
  • Support board-level and executive communications, including product and technology updates.

Tools, Documentation & Process Support

  • Leverage tools such as:
  • Jira and Confluence (or similar platforms)
  • CRM and reporting tools (e.g., Salesforce)
  • Document processes and support ongoing improvements to workflows and communication.

Administrative & Project Support

  • Manage correspondence, expenses, and executive documentation with professionalism and discretion.
  • Planning offsites, meeting planning and coordination including logistics.
  • Support short- and long-term initiatives and special projects for Product and Technology leadership.
  • Maintain organization, accuracy, and confidentiality across all deliverables.

Essential Skills:

Product & Technology Acumen

  • Strong understanding of the product and software development lifecycle
  • Familiarity with product terminology, agile concepts, and engineering workflows
  • Ability to operate effectively in a product-led, release-driven environment.

Executive Communication

  • Exceptional written and verbal communication skills
  • Ability to synthesize technical information into clear, concise messaging.
  • Experience creating executive-level presentations and reports.

Technical & Analytical Skills

  • Advanced proficiency in Microsoft Excel (formulas, reporting, data visualization)
  • Strong experience with PowerPoint for executive presentations
  • Familiarity with tools such as Jira, and Confluence (or similar platforms)

Organization & Execution

  • Strong attention to detail and ability to manage multiple priorities simultaneously.
  • Proven ability to adapt quickly and remain effective in a fast-paced environment.
  • Ability to anticipate needs and operate proactively with minimal direction.

Preferred Experience

  • Experience supporting CTO, CPO, or senior technology/product leadership
  • Prior exposure to Product, Engineering, Analytics, or SaaS environments
  • Bachelor’s degree or equivalent professional experience
